Meeting Notes 10/22/15

Minnesota BBQ Society Board of Directors Meeting

October 22, 2015, 6pm at Highlight Printing

 

In attendance: Dave Londeen, John Scharffbillig, Janelle Willard, Ross Bowen, Chuck Harding, Gary Harding, Don Bickford, Stan Dobosenski, Dan Maley, Nora Gallagher, Chuck Anderson-Webmaster

 

Meeting Called to Order: 6:03 pm

 

Website and Facebook: Chuck Anderson presented some analytics on the Society’s website. There was discussion on how to drive more people to the site.

Motion: Stan Dobosenski, 2nd: John Scharffbillig To allocate $50 budget for promoting posts on Facebook. Approved. Webmaster to advise which events will be promoted, he will pay and bill the Society.

Action Items: Add Calendar of Events and Approved Minutes to Website

 

Membership and Mailing Lists: Discussion on current membership numbers. General consensus is that we need to define our process and develop written procedures, roles and responsibilities. Once the process is defined, decisions on appropriate software to manage the system can be made.

Action Items: Membership Committee to meet, assess current situation and draft process document.

 

Team of the Year: Board is working with Brian Brandt to verify numbers and eligibility.

 

Board of Directors:  We will have two open positions on the Board of Directors. Terms ending are Chuck Harding and Gary Harding.  Janelle Willard will put together a message asking for members interested in serving on the Board.

 

Treasurer’s Report

 

Charitable Activities: Motion: Janelle Willard, 2nd : Chuck Harding- to donate $250 to St. Joseph’s Home for Children to purchase Raffle items for their Holiday event. Approved.

 

November/December Food Bank volunteer event is being organized- details to follow.

 

Upcoming Events:

 

Annual Banquet: Date is set for January 23, 2016 at Red Rossa Italian Grille at the Best Western Bloomington Hotel adjacent to Mall of America. Save the Date notices to be sent via email as well as posted on the Website. Final costs to be determined and sent to Board for ticket price determination. A Room Block of 12 will be set up at the Best Western for those who want to stay overnight.

Action Items: Establish ticket price, post Save the Date

 

Spring Training: April 9, 2016. Speakers will include  Dave Anderson of Famous Dave’s, and Dr. Jeff  Sindelar from the University of Wisconsin-Madison. Agenda to be determined.

 

Judges/Table Captain’s Class: Date and location to be determined, trying to locate closer to Minneapolis/St. Paul to accommodate a different geographic area.

 

Minnesota in May contest: May 21, 2016 at the State Fairgrounds. Paperwork to secure the date has been sent to the Fairgrounds.

Minnesota BBQ Society Board of Directors Meeting

November 18, 2015, 6pm at Broadway Pizza

 

In attendance: Ross Bowen, Dave Londeen, John Scharffbillig, Janelle Willard, Chuck Harding, Randy Appelgren, Dan Maley, Stan Dobosenski

 

Ross Bowen stated that he feels the Board’s greatest need is to take control of the membership list. He would like to focus on that, and suggested John take over the duties of the Presidency.

Motion: Stan, 2nd by Dave: Nominate John Scharffbillig to take over the Presidency for the remainder of Ross’s term. Passed.

Motion: John, 2nd by Janelle, Nominate Stan Dobosenski to be Vice President. Passed.

 

Volunteer Event: Dec. 19, 2015- Second Harvest Heartland, Saturday from 9-11:30 am. The BBQ Society has committed to filling volunteer positions. The event will be posted on the website and FaceBook, looking for volunteers outside of the Board.

 

Board Elections: There are two open positions. Janelle will write up a notice to send to general membership

 

Website: The Events calendar is up. Also plan to list the current Board members and their titles.

 

Annual Banquet: January 23, 2016. Melissa Fisher has agreed to work on the Banquet which is at the RedRossa Italian Grille in Bloomington. Board members committed to asking for raffle items.

 

Team of the Year: Banners will be ordered for four categories and overall winner.

 

Minnesota in May contest:  May 20-21, 2016. Motion-Randy, 2nd John: To participate in KCBS 100,000 Meals program again this year, and to have Anoka for Youth be the beneficiary. John will get the price of the Judge BBQ software and then determine which contests are interested in participating in that program this year.

 

Judges and Table Captains Classes: March 12, 2016- Classes will be held at the University of Minnesota Meat Science Lab on the St. Paul campus. Need team willing to cook. Three of the meats will be cooked offsite, Chicken will be done onsite.

 

Spring Training: April 9, 2016- We have confirmed Dave Anderson, Rib King as one of the speakers, along with Dr. XXXX from the University of Wisconsin XXX

 

 

Next Meeting Dates: December 16, 2015; January 13, 2016. Will try to reserve Broadway Pizza again.

Membership Report: Janelle is reconciling the various lists. John to contact National BBQ News for their current list for mailings. Janelle, Dave and Ross will meet in January to finalize the Membership list. John to investigate software options for Membership billings. The Board is willing to pay for a program to be set up.

 

Banquet Update: Reviewed Raffle items. Board agreed to purchase (2) Grizzly Coolers at a discounted price, one for Banquet, one for Minnesota in May. Discussed the need for continued communications. Nora to update text, Janelle to blast email. Team of Year- banners to be ordered. Discussion of Agenda.

Membership Report: Jen Amundsen will come to the Banquet to transfer the Membership records back to the Board. National BBQ News mails 143 papers each month. We need to change the Membership Application address to Dave Londeen.

 

Banquet Update:  We have 38 registered for the Banquet to date. Reviewed Raffle items. Board agreed to purchase (2) Grizzly Coolers at a discounted price, one for Banquet, one for Minnesota in May. Discussion of Agenda. Agreed to order an Appetizer.

Minnesota BBQ Society Board Meeting

February 10, 2016

In attendance: Dan Maley, Dave Londeen, Randy Appelgren, Stan Dobosenski, Lu Holter, Dan Salzl, Janelle Willard, John Scharffbillig, Nora Gallagher, Don Bickford,

Guests: Chuck Anderson, Webmaster; and Mark Noordsy, Membership Chair

 

Meeting was called to order at 5:56pm

 

Newly elected Members Lu Holter and Dan Salzl were introduced.

 

Minutes: Motion-Stan, 2nd Don: To approve the minutes from the 1/13/16 meeting. Passed.

 

Financial Report

Banquet Recap: There was general consensus that location and food were good. We may have had too many raffle items for the number of attendees.

 

Roles & Responsibilities: John distributed a draft of a document outlining the different duties and events which need to be covered by the Board. There was discussion about the number of Board seats which will expire next year, and the need for continuity and transfer of knowledge. He asked the Board to take home and review, for discussion at March meeting.

 

Membership: The database has been transferred to Mark Noordsy. He will work with Janelle to reconcile lists. There was discussion on the term of memberships: calendar year versus month paid through 12 months. Motion- John, 2nd Janelle: Memberships will go 12 months from the month paid. Passed. Once database is confirmed, Mark will conduct an audit of membership asking members to confirm their contact and payment data. Discussion of Family membership. The benefit is two votes for Board elections. Chuck requested we clarify that on the website.

 

Website, Facebook and Email: There was discussion of the importance of the social media opportunities, and a reminder that it is a professional site not a personal one and reflects on the Society. Ross and Stan have Admin rights on Facebook, Lu volunteered to work on Facebook and will be added to the Admin list. Chuck explained the problem we experienced with the Website, and that he is transitioning it to a new platform.

 

Judges/Table Captains Class: Will be held in the Twin Cities this year. Randy Appelgren offered to cook. We need to do an email blast to promote the event.

 

Spring Training: John and Dave will meet with the University next week. Compart is donating the Pork for the lunch. There are 5-6 Vendors interested in having booths. Need an email blast to promote the event.

 

Minnesota in May Contest: There was preliminary organizational discussion: need for ice, tables, chairs. Dave to set up an early meeting with the Fairgrounds.

 

Volunteer Opportunities/ Community Outreach:

Battle of the Badges– This may not be a BBQ event this year. Board agreed they still want to be involved in the cooking for the public.

Minnesota Association of Meat Producers (MAMP)- The Willards, John and Dave committed to cook the event.

 

Team of the Year: Brian Brandt is willing to do this again for 2016, but requires a good membership list and defined rules. Motion- Janelle, 2nd Dan: Team of the Year rules for 2016 are (1) Must compete in a minimum of 3 MN contests, (2) Must be a member in good standing of MNBBQ Society prior to the first contest entered in order for points from that contest to count towards TOY, (3) The top 3 scores for each team will count towards TOY standings. Passed.
